General Board Member Responsibilities:
Commit to your position from June through the following May
Attend monthly board member meetings (1-2 hours a month, 3 in-person meetings a year, the rest are on zoom)
Attend the quarterly General PTA meetings
President
Leads the PTA and coordinates the work of the Executive Board and committees so the PTA’s goals are carried out. Conduct board and general membership meetings. Serves on the staff grant, student grant, and budget committees. Work closely with the Principal and represent Westside PTA with the Leander ISD Council of PTAs and Texas PTA.
VP1 - Fundraising
Leads fundraising strategy and manages execution of overall efforts such as fundraising events, corporate sponsors, and restaurant spirit nights. Works with fundraising-related committees and ensures that fundraising plans match the approved PTA budget and goals.
VP2 - Programs
Coordinates and works with staff leads and chairs/committees on Special Programs such as Reflections Art Program, Multicultural Night, Science Night, Spelling Bee, Book Fair, and Talent Show.
VP3 - Teacher Appreciation
Oversee teacher appreciation committee and manage events that recognize Westside staff and teachers throughout the year.
VP4 - Membership
Plan and manage membership drives, track membership numbers, and shares how membership supports our campus. Responsible for ordering, selling, and distributing spirit items (T-shirts, for example). Fills out state and national PTA forms related to membership.
Secretary
Keeps official records for the Westside PTA. Records minutes for Board and membership meetings, handles official PTA correspondence and notices, keeps key governing documents on file (bylaws, standing rules, policies), and maintains required records for Texas PTA and Leander ISD Council PTA.
Parliamentarian
Advises the Board and PTA members on parliamentary procedure and bylaws so business is conducted properly. Supports bylaws and standing rules review. Responsible for supporting the Nominating Committee each spring with logistics. Votes only by ballot.
Treasurer
Manages the PTA’s finances. Keeps accurate financial records, writes checks and makes disbursements as approved by the budget. Responsible for regular financial reports to the Board and Membership and completes required IRS and state filings. Presents the proposed budget for the next year at the annual meeting.
Volunteer Coordinator
Oversees Volunteer recruitment, communication, and appreciation. Works with other PTA Board members/event leads to create and distribute volunteer sign-ups.
Communications
Oversees PTA communications by distributing information to families through newsletters, social media, website updates, flyers, and other tools. Works with chairs and PTA Board to ensure PTA information is clear, timely, and accessible to families.
Healthy Lifestyles
Assisting Westside Staff in CATCH (Coordinated Approach to Child Health) initiatives and promoting lunch time nutrition education support. Manage the Wellness Fair and help with Field Day in the spring.
Community Affairs
Oversee the large events for Westside - including Back to School Bash, Fall Fest, and Movie Night. Work closely with other board members to coordinate the events.
Advocacy
Attend District School Board meetings and report back to the PTA board on any relevant information that directly affects our campus. Coordinates events that involve school board members. Communications to disseminate all relevant information to our families via the PTA website and the School/PTA newsletter.
Inclusion
Organizes Kids First each spring. Evaluates all PTA events and activities for inclusion of underrepresented groups. Recommends modifications and accommodations to the PTA executive board to facilitate inclusion of underrepresented groups in all PTA activities
